WordPress Quotation and RFQ System Development
A quotation or RFQ system is an enquiry path for businesses that do not sell at a published price. Instead of a general contact form, the visitor adds products and quantities, answers the questions required for quoting, attaches a drawing or artwork, and submits one structured request. The fields are limited to the information the sales team needs in order to prepare a price.

Suitable for
Manufacturers, contract manufacturers, wholesalers, and exporters that sell by quotation rather than from a price list.
Common challenges
An RFQ system is appropriate when enquiries regularly arrive without the product, quantity, material, tolerance, or delivery destination needed for a quotation, and sales staff must request this information by email before they can quote.
Scope of work
- 01Identify the information required before a quotation can be prepared. This is typically three or four items, and it differs by industry.
- 02Build a quote cart, so that the visitor can add several products with different quantities and submit them as a single request.
- 03Collect specifications as structured fields, such as material, thickness, tolerance, finish, and delivery destination, so that requests can be compared and searched.
- 04Accept file uploads, including drawings, artwork, spreadsheets, and photographs of existing parts.
- 05Calculate prices on the page where pricing follows a formula, and route the request for manual quotation where it does not.
- 06Deliver each request to a monitored inbox, a CRM record, or both, with assignment rules defined in advance when more than one person can handle it.
Examples
The demo below is an enquiry page for a laser cutting company. When a DXF file is added, the site reads the outline, cut length, and hole count from the file, calculates a price based on material and quantity, and fills the result into the existing enquiry form. The file is not sent to any third-party service. The dealer portal demo shows pricing that varies by customer account.
Working prototypes
- DXF-Based Quotation SystemA laser cutting enquiry page that reads an uploaded DXF file, extracts the outline, cut length and hole count, prices the part by material, thickness and quantity, and fills the result into the existing enquiry form.
- B2B Account-Based PricingAn industrial pump catalogue with public list prices and account-specific partner prices. After sign-in, the same product page recalculates price, stock and downloads for the signed-in account without a page reload.
Common questions
- How does this differ from a request-a-quote plugin?
- Standard request-a-quote plugins provide a quote cart, and for businesses that only need a quote cart, a plugin is usually sufficient. Custom development covers industry-specific specification fields, file reading, business-specific pricing rules, and delivery of requests to the systems the sales team uses.
- Do prices have to be hidden?
- No. Public and quoted pricing can be combined, for example a public list price with a quotation path for larger quantities, or a public catalogue with pricing available after login. Each page includes either a price or a way to request one.
- Can it work with WooCommerce?
- Yes, alongside WooCommerce or in place of it. Products sold by card payment and products sold by quotation can share the same catalogue. If the site does not take payments, WooCommerce is not required.
- Where are enquiries delivered?
- To the systems the team already uses, such as email, a CRM, a spreadsheet, or a notification service. Delivery and assignment are configured as business rules during the project.
Project enquiry
Send the current site or the requirement, together with any examples, documents, or workflow notes that help explain it. We review the scope and may ask follow-up questions before providing a written quote.
